BILLEZO COMPREHENSIVE PRIVACY POLICY
Effective Date: 15 April 2026
Last Updated: 18 May 2026
Billezo Technologies ("we," "our," "us," or "the Company") respects your privacy and is deeply committed to protecting the personal and business data of our users ("you," "your," or "Merchant"). This Comprehensive Privacy Policy outlines, in exhaustive detail, the types of information we collect, how we use it, how we secure it, and your rights regarding your data when you use the Billezo mobile application, web dashboard, and associated services (collectively, the "Platform").
By downloading, installing, registering for, or using the Platform, you explicitly consent to the collection, processing, storage, and sharing of your information as described in this Privacy Policy. If you do not agree with these terms, you must immediately cease use of the Platform.
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
1. EXTENSIVE DATA COLLECTION PRACTICES
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
We collect information through multiple channels to provide a seamless, offline-first billing experience. The data we collect includes:
A. Information You Voluntarily Provide (Account Data)
When you register and create a shop profile, we collect:
• Personal Identifiers: Your full name, mobile phone number, and email address.
• Business Information: Your legal shop/business name, store physical address, city, state, postal code, and business category (e.g., retail, grocery, pharmacy).
• Financial Identifiers: GSTIN (Goods and Services Tax Identification Number) for B2B tax compliance, and UPI IDs (Unified Payments Interface) for generating payment QR codes on invoices.
• Authentication Data: One-Time Passwords (OTPs) generated during the login and verification processes.
B. Business Operational Data (User-Generated Content)
As you actively use the Platform, we store the data you input to run your business:
• Inventory Data: Product names, categories, selling prices, purchase prices, stock quantities, SKU codes, and low-stock thresholds.
• Transactional Data: Detailed records of every bill generated, including items sold, quantities, timestamps, total amounts, applied discounts, and payment methods (Cash, UPI, Card).
• Customer Data: Names, mobile numbers, and purchase histories of your customers, which you input into the app.
• Udhaari (Credit) Data: Ledgers tracking credit extended to your customers, including outstanding balances, partial payments, and settlement dates.
• Staff Attendance Data: If you use the Staff Attendance module, we store staff names, mobile numbers, daily attendance records (present/absent/half-day), and salary calculation inputs. This data is strictly tied to your shop account and never shared.
C. Automated Technical Data (Device & Usage Information)
To ensure platform stability and security, we automatically collect telemetry data:
• Device Specifications: Hardware model, operating system version (e.g., Android 13, iOS 17), unique device identifiers (IMEI/MAC address hashed), and screen resolution.
• Network Information: IP address, mobile network operator, and Wi-Fi connection status (crucial for our offline-sync engine).
• Application Analytics: Feature usage frequency, screen navigation paths, button click maps, and session durations.
• Error Logs: Stack traces, crash reports, and performance metrics.
• Hardware Peripherals: Metadata regarding Bluetooth thermal printers paired with the device (MAC addresses of printers, connection success rates).
D. Permissions We Request
The Billezo app requires specific device permissions to function. We only access these when necessary:
• Bluetooth & Location: Required exclusively for discovering and connecting to ESC/POS thermal receipt printers. (Note: Android requires Location permission to scan for BLE devices).
• Storage/Camera (Optional): Required only if you choose to use your device's camera to click images of products to add them directly to your inventory, scan QR/Barcodes, or upload a shop logo. Your images are only used for your inventory management.
• Internet/Network State: Required to synchronize local offline data with our cloud databases.
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
2. EXHAUSTIVE USE OF YOUR INFORMATION
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
We process your data strictly for legitimate business purposes, which include:
A. Core Service Delivery
• To create and manage your Billezo merchant account.
• To generate accurate, legally compliant digital and physical invoices.
• To maintain real-time cloud backups of your inventory and Udhaari ledgers, preventing data loss in case of device failure.
• To generate dynamic UPI QR codes using your provided UPI ID, facilitating peer-to-peer payments from your customers directly to your bank account.
B. Analytics & Business Intelligence
• To generate automated financial reports, sales summaries, and profit margin analytics visible only to you on your dashboard.
• To analyze aggregate, anonymized usage trends to understand which app features (e.g., thermal printing, WhatsApp sharing) are most popular, guiding our future development roadmap.
C. Communication & Support
• To send essential transactional SMS or emails (e.g., OTPs, subscription receipts, account deletion warnings).
• To provide customer support, troubleshoot printer connection issues, and respond to your inquiries.
• To send you marketing communications regarding new Billezo features, hardware discounts (e.g., printer sales), or promotional subscription offers (you may opt out of these at any time).
D. Security & Fraud Prevention
• To detect and prevent unauthorized access, brute-force login attempts, or fraudulent activities.
• To enforce our Terms & Conditions.
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
3. DATA SHARING AND DISCLOSURE
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
Billezo operates on a strict "Privacy First" principle. We unequivocally DO NOT sell, rent, trade, or lease your personal data, business financials, or customer lists to third-party data brokers, marketing agencies, or advertisers.
We only share data under the following limited circumstances:
A. Trusted Third-Party Service Providers
We employ enterprise-grade vendors to facilitate our services. These vendors are bound by strict Data Processing Agreements (DPAs) and confidentiality clauses:
• Cloud Infrastructure: MongoDB Atlas, AWS, and Google Cloud Platform for secure, encrypted database hosting and server infrastructure.
• Payment Gateways: Razorpay handles all subscription upgrades and hardware purchases. We transmit your basic details (name, email, phone) to Razorpay to initiate the checkout. We DO NOT store your credit card, debit card, or net banking credentials on our servers.
• Communication APIs: Twilio, MSG91, or Firebase for delivering OTP SMS and push notifications.
B. Legal & Regulatory Compliance
We may disclose your information if required to do so by law, or in the good-faith belief that such action is necessary to:
• Comply with a legal obligation, court order, subpoena, or warrant issued by Indian law enforcement agencies.
• Protect and defend the rights, property, or intellectual property of Billezo Technologies.
• Prevent or investigate possible wrongdoing, fraud, or tax evasion in connection with the Platform.
• Protect the personal safety of users of the Platform or the public.
C. Business Transfers
In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your data may be transferred to the acquiring entity as part of the business assets, subject to the acquiring entity adhering to privacy standards equivalent to this policy.
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
4. DATA RETENTION & ACCOUNT DELETION
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
A. Retention Policy
We retain your Account Data and Business Operational Data for as long as your Billezo account remains active. If your account is completely inactive for a continuous period of 24 months, we reserve the right to archive or permanently delete your data to minimize storage overhead, after providing you with 30 days prior notice via email/SMS.
B. Permanent Account Deletion
You have absolute control over your data. You may initiate a permanent account deletion process directly from the app (Settings → Shop Profile → Danger Zone → Deregister Account).
• Upon verification via OTP, our automated systems will immediately execute a hard delete of your shop profile, inventory, customer lists, and transaction history from our active production databases.
• This process is IRREVERSIBLE. We cannot recover your business data once you confirm deletion.
• Encrypted database backups (cold storage) are rotated and purged on a 30-day cycle. Therefore, residual traces of your data will be completely eliminated from our backup infrastructure within 30 days of your deletion request.
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
5. ENTERPRISE-GRADE SECURITY MEASURES
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
We implement robust, industry-standard administrative, technical, and physical security measures to protect your data against accidental loss, unauthorized access, alteration, and disclosure:
• Encryption in Transit: All data transmitted between the Billezo mobile app and our backend servers is encrypted using TLS 1.2/1.3 (Transport Layer Security).
• Encryption at Rest: Our cloud databases (MongoDB Atlas) utilize AES-256 encryption at the volume and storage layer.
• Access Control: Direct access to production databases is strictly limited to authorized senior engineering personnel using multi-factor authentication (MFA) and VPNs.
• Sandboxing: Data stored locally on your Android device is isolated within the app's secure sandbox, preventing other malicious applications from reading your offline inventory or bills.
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
6. YOUR RIGHTS REGARDING YOUR DATA
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
Under applicable privacy laws (including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 of India), you possess the following rights:
• Right to Access: You can view all your stored business and customer data directly through the Billezo app dashboard.
• Right to Rectification: You can edit, correct, or update any inaccurate product pricing, customer details, or shop profile information instantly via the app UI.
• Right to Erasure (Right to be Forgotten): You may exercise this right via the Account Deletion process described in Section 4.
• Right to Export: Upon written request to our support team, we will provide a machine-readable export (CSV/JSON) of your inventory and transaction history.
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
7. CHILDREN'S PRIVACY
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
The Billezo Platform is strictly a B2B (Business-to-Business) tool intended for adult merchants, shop owners, and entrepreneurs. We do not knowingly solicit, collect, or process personal information from children under the age of 18. If you are a parent or guardian and become aware that your child has provided us with personal data, please contact us immediately so we may purge the information.
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
8. THIRD-PARTY LINKS & SERVICES
━━━━━━━━━━━━━━━━━━━━━━━━━━━━
The Platform may contain links to third-party websites (e.g., Razorpay payment pages, WhatsApp). We are not responsible for the privacy practices, terms of service, or content of these external entities. We encourage you to review the privacy policies of any third-party services you interact with.
